How to Track Job Applications: A 10-Application Example

Track job applications with seven columns and six statuses. A filled-in list of 10 applications shows the counts, reply rate and who to follow up.

To track job applications, give each one a row with seven fields (Company, Role, Link, Date applied, Status, Next step, Notes), update the status whenever you hear back, and put the date of your next action in Next step. Once a week, read down that column and do every row dated today or earlier. The free Job Log tracker has exactly those fields and six statuses, and it runs in your browser.

What do I write for each application?

Do it the day you send it, while you remember the details. Fill in Company, Role, Link and Date applied. Set Status to Applied. Add a Next step with a date, for example "Follow up Nov 6". Use Notes for names or where you found the role.

What do the statuses mean?

Applied: sent. Received: they said it arrived. Interview: a call is booked. Offer: you have one. Rejected: they said no. Closed: you stopped, or the role closed.

What does a tracked list look like after two weeks?

This is a made-up list of 10 applications, read on 2026-11-07.

Days since is 2026-11-07 minus the date applied. Alpine Ski is 19 days, Blue Yonder 18, and so on down to VanArsdel at 3.

What do the numbers tell me?

Counts by status: Applied 6, Received 2, Interview 1, Rejected 1. That adds up to 10.

Reply rate: Received, Interview and Rejected are all replies, so 2 + 1 + 1 = 4. Then 4 / 10 = 40%.

Follow-ups: the Job Log FAQ says most replies take 3 to 10 days. Applied rows at 10 days or more are Coho Vineyard (17), Lucerne Pub (15) and Margie's Travel (12), so three follow-ups are due today. Relecloud (9), Trey Research (5) and VanArsdel (3) are still in the normal window, so their Next step holds a later date.

What is the weekly routine?

  1. Read down Next step and do every row dated today or earlier.
  2. Update any status that changed.
  3. Add a new Next step to every row you touched.
  4. Export a CSV so you have a copy.

Job Log keeps your list in this browser on this device, and clearing site data removes it. Export first. Import takes one click.

Do I have to use Job Log?

No. The same seven columns work in a spreadsheet, and Job Log exports a CSV for Google Sheets or Excel.
